After coordinating weddings for the past four years and myriad other events for the past 12, I often get asked how a wedding gets put together without someone like me and the truth is that there is no ONE person that will do that for you. Your friends and family may offer up their help enthusiastically, but can you honestly trust an assortment of people to handle everything for you AND hope they still have a good time at your wedding?

<img style="margin: 0pt 10px 10px 0pt; That’s a lot of stress to put on yourself, especially if it’s YOUR big day! There are typically around 10-12 different vendors, many of whom never meet or speak with each other prior to the wedding day. They each may have had different conversations with the bride and gotten different impressions about what the day is supposed to be like. Without a single source of information and organization available (i.e. the wedding coordinator), lines are sure to be confused and chaos can ensue!

Here’s how a wedding coordinator works on your wedding day:

- We get the details in one place by gathering the pertinent information from all of your vendor contracts, conversations, and notes. Then, we create one comprehensive itinerary for the week of the wedding to share with everyone involved. Your vendors will feel like they are on the same page and included in the process. This helps make an overall happier vendor team, therefore allowing them to provide a better service to you.

- We become the main contact. With up to a dozen or more vendors needing to be directed, it can get overwhelming connecting with each one to finalize logistical details. We handle all of that for you and then on the week of your wedding, if there are still any questions unanswered, you’ll only be hearing from us.

- We attend the rehearsal. The rehearsal is not just to practice the ceremony and how to stand, but we can use it to get your family and bridal party comfortable with their roles and how the rest of the day will go (toast times, special dances, etc). At the rehearsal is also when we take everything off your hands (guest book, decorations, place cards, etc) so you can enjoy your rehearsal dinner and your whole wedding day without worrying about any of those small details.

<img style="margin: 0px auto 10px; Finally, the wedding day! I could go into pages of detail on all the things we handle on the wedding day, but it suits us to say that we’re everywhere at once. We’re decorating the reception and ceremony sites, making emergency alterations or removing stains on dresses, cuing the string quartet for your magical walk down the aisle to your groom, and so much more. With emergency kit in tow, we are the conductors of your wedding day, orchestrating every detail according to the itinerary and solving any crises along the way. We are often hard at work for an average of 13 hours straight, which makes for an exhausting day. It’s a good thing we love what we do, because nothing is more satisfying than seeing our happy and relaxed couples at the end of the most memorable day in their lives (at least up to that point!).

<img style="margin: 0pt 0pt 10px 10px;

After reading all the tasks above, would you really want to put that kind of stress on yourself or a friend who is also invited to the wedding as a guest? Keep in mind also that a coordinator provided by the ceremony and/or reception facility is not going to do all these things for you either. Many are extremely accommodating and will take care of you very well, but their first priority is the facility and probably also the food. With our experience, we are going to be invested in ensuring your wedding day goes off without a hitch.

Finally, I’d like to leave you with a few notes on how to keep your sanity on your wedding day!

Make sure everyone is on the same page. Your vendors should all have a single itinerary that tells them what is happening when. This is the best tool I provide my brides and their vendors.

How is it all going to come together? If you don’t have a wedding coordinator to handle everything, you will need a detailed plan for getting all the work done and your “plan B’s” in order for emergencies.

Your friends, family and guests need to be “in the know” as well. Make sure guests know when and where to go, especially if you’re providing transportation. Your bridal party should be aware of your expectations on their roles, what to wear, when their appointments are, and what to do on the wedding day.

Don’t wait until the last minute! For the really important things, like your vows and speeches, give it some time to breathe. You want to feel really confidant in those things and that may take some re-writing and practicing…so start early!

Preserve your sanity. What makes you happy? A trip to the beach, a spa day, or time with friends? Make sure you get some of that leading up to your wedding day so you won’t be a stress ball when the big day finally does arrive. With proper planning, you can enjoy your last few weeks as a fiancé before becoming a wife.

Dreaming of warmer weather

I'm sure you've been waiting to hear all about my fabulous trip to the Bahamas. First, let me say that I had the best luck with travel. I had an odd situation, but it all worked out for the best. My flight was out of O'Hare at 7:30 am on Monday the 12th. I hitched a ride on the Van Galder bus from UW Memorial Union at 2:30 am to the airport. Yes, I did stay up and no, I did not get any sleep (at least anything qualifying as tangible) on the bus ride down. However, it worked out very well. Layover in Charlotte, and was on the resort grounds by 2 pm...beach by 3 pm.

Realizing I needed some sleep, lest I be a walking zombie, I took a quick nap before the welcome reception. For those of you who know me, I am NEVER able to take naps...there's always too much running through my mind. However, I was in the Bahamas, had just spent some time on the beach, so my mind was completely calm enough (and deprived enough) to get in a nap.

The team at Sandals set up some beautiful table schemes for us at the four course dinner they served. See below...

By the way, let me say a special "thank you" to the catering team at Sandals Royal Bahamian because when I indicated that I was vegetarian, they accommodated me with deliciously prepared tofu on my main course! I later found out that if you meet with your concierge upon your arrival and notify them of special allergies or dietary restrictions, they can make accommodations for your entire trip. Sure, it might take some extra planning (go to certain restaurants on certain days), but at least you still get to try their delicious food - prepared especially for you!

So, here's the gist - we learned that Sandals resorts have become more than just your average "all inclusive" resorts. To stay competitive, they have created an all new focus called "Luxury Included." This difference means:
- a wide range of land and watersports
- suite concierge service
- gourmet dining
- golf and other fitness privileges
- Essentially, it just means you get MORE! More quality, quantity, consistency, choice, luxury and pampering!

And I know this for a fact, because I experienced it. Most of the staff didn't know I wasn't there on my own dime (though I'm sure sitting with a group of ladies gave it away, rather than being with my husband).

We also learned a lot about their Weddingmoons packages. This is where you and your family would have your wedding celebration at one of their resorts, then start your honeymoon right away! Celebrity designer Preston Bailey has partnered with Sandals to create magical themes for "weddingmoon-ers" to choose from when designing the look and feel of their beach wedding. Here are some more images of this property in the Bahamas and their wedding facilities. Enjoy!

If you're stressing about your traditional, local wedding, contact me about a Sandals or Beaches Weddingmoon. I'm leaving. No, don't try to convince me to stay...the Bahamas are calling my name! So, literally, I'm heading out to the Bahamas on Monday to visit the Sandals Grand Bahamanian Resort. Sandals and the Association of Bridal Consultants have a relationship and they invited 25 of us to come out and view the resort so we can tell all our beautiful wedding couples about it's glory.

Many of you may not have known of this special relationship, but you should! If you decided that a Sandals honeymoon (or heck, even just a vacation!) was for you, you can book through me and receive special perks! For example, a current special running at the Sandals Grande Ocho Rios (see inset picture) in Jamaica is a savings of 60%, one free night, and a $250 spa package to use when you get there! How awesome is that?

After I return from the Bahamas, I'll give you the low down on that fabulous resort. No matter if you're a current client, a friend, or anyone else who happened upon this blog, let me know if you're interested in a vacation or honeymoon at Sandals Resorts and I'll get you the deals that you can't get on your own.

Stay warm, Wisconsin!

Top Shelf Favors is open for business!

I've finally entered the age of e-commerce! I still had many fabulous fall weddings that I will hopefully eventually mention here in this blog, but the biggest bit of news I have is the amazing ideas and topics that were covered at the recent Association of Bridal Consultants conference in Newport Beach, CA.

We heard from leading wedding designers Barbara Wallace and Colin Cowie (that's me with him on the right). Both were amazing and inspiring. I started this blog after last year's conference because I was so inspired to share my ideas and thoughts. Blogging seems to come so easy to some people that it's actually become a cliche. It's not as easy as it might think, especially for a busy solo business woman. I hereby give thanks for the readers who have come back every now and then looking for new blogs and vow to give you more content. I'm always brimming with ideas, but never get a free moment to write them down. Another purpose of this blog is to give you insight into the busy life of a wedding consultant. Please keep checking back for more.

Happy Thanksgiving! I'll be attempting to cook a Tofurkey for the weekend visit to my husband's aunt's house. Wish me luck!

Summer winding down

I can't believe this summer is nearly over! I just finished a wonderful wedding at the Madison Club last weekend for a bride and groom who left to move to Korea on Monday. Can you imagine planning a wedding, packing up and selling your personal possession, then moving to Korea after only one day of rest? I was so glad to be able to take all the stress off of her and help create all the details like place cards, menus, programs, table signs, and more.

I'll give you an update on my fabulous July weddings in a future post, but for now I wanted to tell you that I've recently joined the electronic age and got a Facebook page. Find me and be my friend! It's so addicting and fun to find old friends.

Hope you're having a great summer - more posts and photos to come, so check back soon!

Angela

New logo and title!

You may have noticed my new logo for Top Shelf Weddings & Events. I've been wanting to update my logo ever since the new fabulous Assn. of Bridal Consultants logo was unveiled at the ABC conference last November (see right). The curvaceous nature of it inspired me to get more curvy with my font. Bertram, my refined mascot, remains because I feel he embodies everything that I stand for. Refined sophistication, but also a love for life and enjoyment that people from his era were so known for.

My second announcement is the change in my title with ABC. Last Fall I began working on a portfolio application in order to earn the title of "Accredited Bridal Consultant, TM". This is a very involved process. First, there's basic things such as marketing materials, use of the ABC logo, recommendation letters from brides, vendors, and fellow bridal consultants, and proof of continuing education. I also had to take a competency exam and submit essay responses to test my knowledge. The most difficult part was the complete portfolio of a recent full service wedding. I profiled one of my best brides of last Summer/Fall, Sara Utzinger (she's the beautiful brunette in front of the red door in one of my past posts).

The portfolio required proof of every communication I had with her and with every vendor (good thing I use email diligently!). The panel needed to see that I know how to work well with vendors and my client with regards to all aspects in the planning process. They wanted to see all the printed materials from the save-the-date to the place cards. Fabulous photographers Micheal and Heather Krakora (www.michaelkrakora.com) created some beautiful collages of the photos they took to showcase the couple, some moments we had together (like me pinning on boutonnières and fluffing her train pre-walking down the aisle), and the decor of the ceremony and reception.

Putting all of these aspects together was the most difficult part because I had to rely on the dozen-plus vendors who were involved in this wedding to also submit their post-event feedback and thoughts. Most came through for me like champs and helped me submit my portfolio before the November conference and I received my congratulatory letter from the Association early this Spring. Essentially, they needed to know that I have the skills, experience, continuing education, and professionalism to call myself an Accredited Bridal Consultant, TM.

I was amazed to find out that there are only about 25 active members of ABC worldwide who have earned this designation. At this level, I may be expected to present at local seminars or even at the national conference (I think I'll wait a few more years before doing that!). I'll keep to educating my current market in the Madison and south central Wisconsin area. Brides need to know that wedding consultants aren't an extra expense or a luxury, but a necessity for your sanity and well being! Vendors, too, are starting to pick up on the fact that their jobs are easier and they provide a better product or service when a wedding planner is involved.

I'm also trying to help spread the word to other wedding planners out there not yet associated with ABC. Collaborating with each other and learning from each other is the best method, not being territorial or competitive. Each bride and groom will connect with their wedding planner in a unique way (most of the time), so I feel that if someone didn't choose me, but did choose another ABC member in the area, then they are fortunate to have found a true professional who will do a great job for them. The more members there are, the greater our reputation as an integral part of the wedding community is.

Stepping off soapbox and signing off...

While I'm at it...

I might as well continue the thoughts running through my head, such as "what was I thinking booking a wedding show in the middle of June?" June was my busiest month I've ever had. Not because I had a wedding every weekend, but because three of the four were full service and heavy on design, labor, and time. My rep at the Wedding Planner & Guide is very convincing and got me to agree to do their boutique summer show at the Marriott West. I had heard conflicting information about how well attended the show was, so I was a little nervous. Dana asked me to also do a theme table in addition to my booth. If you've seen my other posts, you'll know that I don't do anything half way - it's all out or nothing!

I must send a special "shout out" to the ladies at BBJ Linen in Milwaukee. They have come through for me in a very special way by helping me secure the linens I used for my booth. They are also very creative and are excellent sounding boards for even your most outlandish ideas. Side note - most wedding consultants say they have a special interest. Sometimes it's invitations, sometimes it's the dress, but for me, it's linens. I feel very strongly about having specialty linens and the impact they make on a reception space. BBJ Linen in Milwaukee is the best in the area and their new showroom is the best place to get creative, see and touch your ideas before making the commitment.

Without further ado, below are images of my booth and my theme table. I received several comments from attendees and exhibitors about my theme table. I was very proud of it and hope to continue to expand on my design services with future clients. Enjoy!

You know me, always with the pink. I like to show brides that they can come up with creative and fun centerpieces to mix in with traditional floral work.

This is a more traditional design, perhaps for the Fall, consisting of warm reds, eggplant and some hot pink mixed in. I created a simple red apple bowl for the centerpiece and instead of a menu card, I created a reception itinerary card. We have programs for the ceremony, why not for the reception? Maybe I'll start a trend... Now the theme table...

The theme assigned to me was "Enchanting." I chose to go for a "Midsummer Night's Dream" feel with the sparkly moss overlay and rosy pink accents. Andrea from Fleurishes Floral Artistry collaborated with me to create the whimsical floral centerpiece with curly willow and hanging votive holders (filled with flowers instead of candles!). I accented the table with moss colored wine glasses and charming silver lanterns on the tables. You can't see it, but the menu cards celebrated the wedding of Ross and Rachel. One of America's favorite on and off couples in TV history!

Another event I had the pleasure of being invited to was the Wisconsin Bride Best of 2008 awards. I had been nominated for best wedding planner. I'm so proud to have been nominated, mainly because the other two nominees were both from Madison and all three of us are Association of Bridal Consultant members. That just proves once again that when you need a wedding planner, you should hire a true professional associated with this fantastic worldwide organization (www.bridalassn.com). Congrats to Bill and Jayme and all the other Madison vendors who won or were nominated!

June Wedding Belles

See what I did there? I changed the word "bells" to "belles" to describe my lovely brides from this June. First, was a beautiful, large wedding in Madison. Ceremony in Maple Bluff on private property and reception at the Overture Center Main lobby.

To the left is a picture from inside the unique ceremony tent. We used fruitwood chivari chairs to create a warm, natural feel in the tent. You may be able to see the lovely floral arrangements and pomander balls on shepherd hooks up on the stage. June 7th was the day of tornado warnings in and around Madison. Before the ceremony, sirens were going off and the tent was swaying in between bursts of rain. Luckily, our guests were in comfort because there was a floor, sidewalls and air conditioning!

For the previous three years I've been planning weddings, not one drop of rain has fallen while I was working (there was one wedding where it rained in the morning and rained after the reception was over, which doesn't count!), so I have come to be known to "guarantee" no rain on your wedding day. Of course, it's more of a joke than a true guarantee, but I have been very lucky. This is the year that fate, Lady Luck, or whatever you want to call it, decided to test my preparedness and crisis skills.

The second weekend of the month was a very special wedding. The ceremony was held at the First Unitarian Society meeting house. Originally, this is where the wedding was scheduled to take place, but due to the renovations and construction, they had to find an alternate location (Overture Wisconsin Studio) just in case. Luckily, the space ended up being available and they got to have their ceremony at their church. The reception followed at the Stoughton Country Club. It was my first time to have the honor of working there. It's a lovely facility, very clean and warm. A bit of the beaten path, perhaps, but the staff is very accommodating and friendly.

Here is a picture of the delicious cake from Chris's Confections.
Again, though, lots of rain on this day.

The wedding on June 21st on private lakeside property in Lodi was the most important weather related wedding of the month. The tent was pretty well protected with tall pines, but even in clear weather, I was concerned about heat. My concerns were unfounded because it was the most beautiful day I think we've had this year. It was of a comfortable temperature, not humid, and not rainy (thank heavens!). In this wedding, we combined Chicago class with Wisconsin ruggedness (a mixture of the couples' style, living in Chicago during the week and escaping to the woods of Wisconsin every weekend they could get). See left for an image from the tent.

The bridesmaids dresses were this celedon green that we pulled out as an accent on crisp, white, floorlength cloths. You may not be able to see it, but to welcome their guests with Wisconsin, they received a small vial of local honey (along with local chocolates, cheese, and postcards in their hotel gift bags!).

With this wedding, we learned the importance of lighting. Though citronella torches lined paths, twinkle lights hung overhead, and professional spotlights uplit the trees, we quickly discovered several areas that were black as the night. Guests started taking candles from the tables to find their way to their cars or to the shuttle bus back to Madison. What do wedding planners do best in a situation such as this? We improvise! There were lanterns in an area that was not utilized as much as we had thought it might, so those lanterns had a new job of lighting the road. I also had to personally escort a grandmother to the road since it was quite a distance to hike and our trusty Bobcat that was carting people around the property had run out of gas (for the second time!).

Despite the daddy long legs, ants, earwigs and mosquitoes that were constantly in my way during setup and tear down, this wedding was a raging success and I value the friendship I gained with the bride and her new groom.

Having two outdoor weddings in a row was certainly tiring! In fact, so exhausting that I will have to post at a later date about the fabulous wedding I just completed. Stay tuned!

Where's Angela?

After running into a fellow bridal consultant recently, she reminded me that I have this great blog that is going to waste. If you've been checking back regularly, I apologize. I will be better. Writing has just been difficult for me, but after a month long of wedding after wedding, I feel I have plenty to talk about.

First, what I want to write about is how incredibly grateful I am for my assistants. Sure, I can fix a ripped hem or do a quick fix on a bustle, but one of the top snafus on wedding days are dress or clothing related and I must say that having an expert seamstress as my assistant has come in very handy. Cindy also has a calm and upbeat demeanor that I value in myself. As the person in charge, it helps no one if I respond to undesirable situations with panic. It's the same for my assistants. If they appear frazzled, then the bride, groom, vendors and guests will pickup on that and become stressed. To the right is a picture of Cindy and me after we decorated a honeymoon suite for one of my clients last summer (a little surprise I give my clients when possible).

My spring intern and assistant for this summer is a stylist. Tracy has come to the rescue with bobby pins and shears to fix up loose tendrils and shaggy bangs, keeping brides and bridesmaids looking their best. Both of these professions require fast and steady hands, skills that are handy in setting up for weddings (especially for chair covers!).

Anyone who is anyone knows that they could not be who they are without great assistants. So, this blog's to you Cindy and Tracy. Thanks for helping me to give brides, grooms, their families and guests a seamless and beautiful day!

Next up, June wedding bells!

Bridal Shows - vendors, flyers and giveaways - oh my!

Although it's been nearly two months since my last post, not much has changed weather-wise in Wisconsin. We're buckling down for a predicted 8-10" snow drop tonight, so I thought I would get caught up on my blog. The first month was filled with getting ready for the Madison bridal expo put on January 12-13. It was my first show and I felt that I thoroughly prepared (hey, I am a professional planner, it's expected that I be prepared!) and it paid off. Many great brides stopped by and spoke to us about how a wedding consultant could help them enjoy all the hard work they've already put into their weddings.

Here are some pictures from my booth...

Lots of pink!

A contemporary, simple tablescape design.

An Asian good fortune tabletop.

At the show, I tried to make my way around and meet vendors, especially those I've never heard of or just never got the chance to reach out to. I've recently had the opportunity meet with a fabulous family-owned photography and videography business and I can't tell you how great they were. Contact me if you want their info!

I'm very happy to have many wonderful couples this year with such varied tastes. We have beautiful tented weddings on their private home property, chic, modern receptions at the Overture Center, and cozy, intimate weddings at favorite restaurants. What a joy that weddings can reflect who you and your fiance truly are and break outside of the stereotypical mold.

I promise it won't be so long before my next post. We have feet, yes FEET, of snow on the ground. It puts a hindrance in wedding planning, that's for sure. Measuring the ground for tent placement is not as easy when you can't see the ground!

Besides dealing with the weather, I've been working diligently to plan my booth for the Wedding Planner & Guide show in January. It will be my first booth at Madison's largest wedding show and so I want to make sure I go all out. Please stop by my booth to see beautiful tabletop designs and pickup a custom fortune cookie that will give you 10% off my services if you book within a month after the bridal show. The Florida weather was everything I had hoped it would be (which, turns out is uncommon) - warm, dry, sunny and fabulous! This conference was not the best yet, but still full of beautiful design ideas and interesting topics. I've posted some images below of tabletop environments, appetizer serving ideas, and a picture of my roommate (an up and coming WI consultant in the Milwaukee area) and I at the off-site "Gala at the Grove." Enjoy!

As a small business owner, the work never ends. Even at the conference, where access to email was not as easy (no wi-fi in the hotel, who doesn't have wi-fi these days?), I was answering questions, scheduling vendor appointments for my brides, and finding dates to meet and network with other vendors. It's easy to see why wedding consultants, and other small business owners, can easily put in 60+ hours a week! I suppose it's a good thing that I love this business and enjoy working with all of my fabulous clients.

Happy Thanksgiving!

ABC Annual Conference

It's that time of year again, for the annual conference of the Association of Bridal Consultants. I take great pride in my membership of the Association. I joined three years ago this October and went to that very first conference a month later in Atlanta. I didn't even have a business name yet, but I learned so much from new and seasoned consultants, the special guest speakers, and staff. As one former ABC consultant said, "you can't afford NOT to attend the annual conference." I look forward to each conference because if I had a busy summer and am feeling burned out, this conference helps reboot my drive and reminds why I love this business so much.

This year's conference features David Tutera, a celebrity wedding designer who has a new daily morning show on Lifetime about weddings. We're also hearing from Mary Dann, a California based celebrity wedding planner. The market in Madison and the Midwest in general is far behind those on the east and west coasts. Over there, clients come to the wedding planner, give them ideas of what they want, and the planner pulls it all together on their own to present the dream wedding to the bride. The planner already has a team of vendors in place, so there's no question about which florist to use, where the linens are coming from, who is doing lighting - they are all already contracted by the planner.

Back to ABC - did I mention the conference is in Orlando this year? It's in the upper 70s, lower 80s - heaven! I could go on about how great the conference will be, but you can check out the website for yourself: www.businessofbrides.com. I'm sure I'll have plenty to say when I return!

Welcome!

Hi there, and welcome to my blog. Being a wedding consultant is a profession in which a lot women and men dream of. I thought I would take this opportunity to share my experiences, my interactions with my clients, and all the special moments that happen when the wedding day finally arrives.

The season is over for me this year. I had several lovely weddings this summer and met hundreds of wonderful people. The best part of weddings is all the family and friends of the couple that are gathering together on a celebratory day. Everyone is happy, wanting to have a good time, and it's my job to ensure that all those guests, but especially the bride, groom, and their parents, are able to enjoy it and be with their guests. When the day is over and the happy couple are glowing because they had such a wonderful, stress-free day, that is my biggest reward.

I have been planning all types of events for over 10 years. They range from small social parties, fundraising events to public events for over 250,000 people. By far, weddings are the best and that's why I started my business to focus solely on that demographic. So, here's to you my future bride and grooms, past clients, business associates, friends and family!

All my best,

Angela
